About the Renewal Refresher
- The Renewal Refresher ensures that your Future Renewals are always up-to-date.
- Once enabled, the Renewal Refresher will run each night and load all active products, prices an expected amounts onto your Future Renewals. Please read the "Criteria for the Renewal Refresher" section for more info on how Quotes get updated.
- The Renewal Refresher will only load products from the same contract path onto the Future Renewal.
The Renewal Refresher will only update the Quotes on the Future Renewal. It does however, replace and recalculate products, regardless if the source Opportunity was modified.
If a non-expected Quote is synced, it will sync all lines and quote values to the Opportunity.
NOTE: If you would like to use multiple Renewal paths for your Customers, please contact Customer Success for more information. |
Criteria for the Renewal Refresher
- The Refresher will run nightly, or on the schedule you have set. During those runs it will only look for the following Future Renewal Opportunities to update:
- Renewals that are not Closed Won or Closed Lost, and have an Opportunity Type that is designated as a "Renewal" type in the TYSO setup details.
- Renewals in Accounts that have products with the Subscription Status of "Active" or "Delayed Start"
- Renewals in Accounts where the source Opportunity Line Items have been modified in the last 7 days, or the Start Date = Today **
- Renewals that have an Expected Quote attached to them.
**Note: if you run the refresher manually from one of our utilities, the criteria for line items updated within a certain period is removed. It will look at all lines that are active in that account. |
What Quotes get updated?
- Anytime a Renewal has data to be updated/Refreshed, it will always update the Expected Renewal Quote.
- Other non-expected quotes may or may not be updated based on what criteria you have set for Quotes to be updated. You can read more about this in the "Renewal Quote Update Options" article.
Options for running the Renewal Refresher Manually
There are three options to run a refresh of a specific renewal, or set of renewals. The simplest method is option 1, using the button on a contract:
- Using the Refresh Renewal button on a Contract
- Script
- Batch Data Processor
- Under the Transaction Management Setup tab, check to see if the Renewal Refresher is not already scheduled. If the Red Power button appears, click it to Schedule. If the Renewal Refresher is already scheduled, you will see a green button.
