By default, Salesforce sets all Price Books to “Use”. You’ll have to update this if you want granular controls on Price Book sharing. 

  • This can be set under the Organization Wide Defaults. You can access it under Setup -> Security Controls -> Sharing Settings 
  • As a best practice, only permission to the appropriate roles and be as dynamic as possible. For example, Use Roles, Profiles and Public Groups instead of individual users. By default, set the Pricebook to "View Only" instead of "Use".




Sharing Price Books
  • To share a price Book, browse to the appropriate Price Book, and click the “Sharing” button.

NOTE: If the “Sharing” button doesn’t display on the Price Book, you’ll need to update the Organization Wide Defaults as described above.


  • Click “Add”
  • Select the Roles, Groups, or Users you would like to share the Price Book with.  


  • Click “Save” when done.

NOTE: In this example, we have used “Roles and Subordinates” for the “Director, Direct Sales”. This allows the Director along with all of his Sales Reps below him in the role hierarchy will be able to use the Price Book.
