About Transaction Booking


Transactions require a two-step process to "Book" Orders, validate and kick off the Renewal automation. With this process, it will ensure all Transactions are locked down and will not change over time.

Components of the Booking Process


All Record Types, Buttons and Workflow you'll need to Book your Transactions are included in the application. During setup, the "locked" Stage and Record Type is selected. The Page layouts also include a "Book Order" Button, which will automatically select the correct Stage, Record Type and email workflow.


Included components are:

  • Booked Record Type for Opportunities
  • Book Order Button on Opportunities


What happens when I click Book Order?


If the User has the appropriate Permissions, the Record Type will be updated to "Booked" and the following actions will happen, depending on transaction type.

  • New Deals:
    • Opportunity Locked
    • Contract Created
    • Future Renewal Created (Read about Booking and delayed renewal creation here.)
    • Account Updated (If Account Type automation is turned on)
    • Bookings Created (if enabled)
    • Subscriptions & Subscription Products created  (if enabled)
    • Transaction Analysis Created (if enabled)
    • Quote Terms associated to a Contract (if applicable)
  • Existing Business Deals & Existing Contract = Yes
    • Opportunity Locked
    • Contract Updated with Subscription Info

    • Bookings Created (if enabled)
    • Subscriptions & Subscription Products created or updated (if enabled)
    • Transaction Analysis Created (if enabled)
    • Quote Terms associated to a Contract (if applicable)
  • Existing Business Deals & Existing Contract = No
    • Opportunity Locked
    • Contract Created
    • Future Renewal Created (Read about Booking and delayed renewal creation here.)
    • Account Updated (If Account Type automation is turned on & appropriate)
    • Bookings Created (if enabled)
    • Subscriptions & Subscription Products created or updated (if enabled)
    • Transaction Analysis Created (if enabled)
    • Quote Terms associated to a Contract (if applicable)
  • Renewals
    • Opportunity Locked
    • Contract Updated with Subscription Info

    • Future Renewal Created (Read about Booking and delayed renewal creation here.)
    • Account Updated (If Account Type automation is turned on & appropriate)
    • Bookings Created (if enabled)
    • Subscriptions & Subscription Products created or updated (if enabled)
    • Transaction Analysis Created (if enabled)
    • Quote Terms associated to a Contract (if applicable)

NOTE: Be sure to only add the "Book Order" button to a Finance/Admin layout. It is not intended for Reps/End Users.
