User Preferences are stored so that the application can use Organization, Profile or User level values. Some settings cannot be edited by an "End User" and require admin only ability to edit. Organization level settings are used when a user or profile does not have an individual entry created for them. When a user or profile entry is created, it inherits all of the default organizational settings.

Preferences can be accessed through the User Preferences interface from the following areas:

  • The TYSO Setup Tab, under "Preferences" and then the "User Preferences" button.

NOTE:  Quote Entry Admins & Transaction Management admins are allowed to edit all user/profile/organization settings. Transaction Management End Users can only edit their own settings that are defined as "non-admin".

Admins can choose the settings they would like to edit using the drop-down at the right:

When selecting a value for a user/profile that doesn't currently have their own settings, a warning will be displayed. These settings must be saved for them to take place.

Definitions of values:

The following values are used to display additional values (Columns, inputs or totals) on the Quote Line Entry page:

  • Quick Add : Select the Quick Add Bundle you would like to add to Opportunities upon Lead Conversion.
  • Sync Quick Add : Automatically sync the Quote where a Quick Add bundle was applied.
  • Apply Multi Discount : Apply a blanket discount to multiple line items.

The following settings are used to default values when new business Opportunities are created (through the wizard or lead conversion):

  • Default Payment Terms
  • Default One Time Fee Terms
  • Default Term
  • Default Close Date (this also defaults the "Start Date" for subscriptions if used). Uses a relative number of days in reference to "Today". for example, 30 would be today + 30 days.

Co-terming Settings:

  • ADMIN ONLY: Force co-terming (This ensures users who create an add-on, must use an existing contract and subscription to prorate to).
  • Default Co-terming: (This defaults the "Is Part of an Existing Contract" checkbox to true). If Force co-terming is true, this setting will have no impact.

The following settings should be specific to users or profiles and have their own entry in the Custom Settings. More on that below.

  • Sticky Prod Favorites (The Quote entry screen will always be opened up with just the favorite products shown)
  • xRR Measure (display values in CMRR or ARR in the xRR Tab).

Below are settings that can only be set by an Admin:

  • ADMIN ONLY: Sign Up Partners
  • ADMIN ONLY: Free Form Term (This allows users, usually admins, to enter subscription terms as a free form value if it's normally standardized).
  • ADMIN ONLY: Override Partner Discount (allows users to adjust the partner discount if it is auto populated from the Partner Account).
  • ADMIN ONLY: Hide Admin Only Products (This will suppress admin only products from being shown on the quote line selection screen)
  • ADMIN ONLY: Allow contract Extensions. (This allows users to modify a renewal and add additional term with or without products that do not have the same start date).
  • ADMIN ONLY: Allow One Time Discounts. (This allows users to apply a one time discount to a product line).
  • ADMIN ONLY: Enhanced Opp Wizard (This turns on the advanced Opportunity creation screen).
