When the need arises to deprecate a product that should no longer be sold, you'll want to make sure you follow the steps outlined below. There are two different paths that can be taken based on how the product has been used.

  1. If the product has never been quoted, it is OK to deactivate the product at the pricebook and product level. There will be no impact to any renewals, or existing quotes.
  2. If the product has been used on any quote, even if it hasn't been Won or Booked, follow these steps:
    1. Browse to the Product, and find the associated Pricebooks it is active in.
    2. Check the "Admin Only" box on the Pricebook
    3. Click "Save"

Option 2  allows the product to be kept on any existing line items, but non-quote admins will not be able to add it to future Quotes. Existing Renewals will not be impacted.

In this scenario, the product will still show in the Quote Line Editor, but non-admin users cannot add it back once it has been removed from the Quote. If you would like to completely remove the product from your Quoter's views, browse to the user preferences and select "Hide Admin Products". To see more about user preferences, view this article.
